Administrative Assistant - Digital

RAICES is currently seeking an Administrative Assistant to assist the Chief Technical Officer (CTO) and Digital Team.  The Administrative Assistant provides a range of administrative support services to the CTO of RAICES and the Digital staff and will be a blend of duties in the realms of office management, project task follow-ups, scheduling, expense-reporting, office-event planning, and Digital department reporting. This position reports to the CTO and is located in Los Angeles, CA.  

The office of the CTO leads the Digital Department at RAICES, which has five primary units: software development, information technology, digital marketing, graphic design, and video production.  We make software, we protect sensitive information, and we execute our brand and mission into visual identities and digital experiences.

RAICES is a 501(c)(3) nonprofit agency that promotes justice by providing free and low-cost immigration legal services and education to underserved immigrant children, families, and refugees in Texas. We actively advocate for these individuals and do whatever it takes to assist the immigrant community. With legal services, social programs, bond assistance, and an advocacy team focused on changing the narrative around immigration in this country, RAICES is operating on the national frontlines of the fight for immigration rights. 

Job Description:

  • Assist the CTO with scheduling, correspondence, budget reconciliations, and expense reporting;
  • Handle administrative and office management tasks in the Los Angeles office, including ordering office supplies, maintaining relationships with facility vendors (landlords, parking), and planning office lunches, events, and outings;
  • Track Digital Department projects for the CTO and reporting on project progress;
  • Assist the RAICES video team on production, including but not limited to: research, release form management, expense reporting, doing errands, assisting camera and sound crews, taking notes during shoots, and helping log footage;
  • Make copy-changes to RAICES web properties;
  • Doing initial screening calls and meetings with potential vendors;
  • Triage requests for help of the Digital Department;
  • Assist in booking travel for the Digital team;
  • Maintain professional, friendly and respectful interactions internally and externally; and,
  • Perform other duties as required and/or assigned.


  • College degree or other training in business management, project management, operations, film/video production or a related field preferred;
  • Strong organizational skills including the ability to manage calendars and effectively maintain records and files;
  • Proven knowledge and experience in digital technologies (content management systems, document management systems, or customer relationship management systems, etc) and or video production;
  • Strong computer skills including proficiency in Google Suite; Google Docs, Sheets, and Slides;
  • Very strong interpersonal skills and the ability to build and maintain a professional, friendly, and cordial relationships with stakeholders, including staff, board members and external partners;
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response; and,
  • Expert level written and verbal communications. Proficiency in grammar, spelling and proofreading.
